DMS QuickView
Use the TRANSFLO® QuickView Viewer to search and view images stored in the imaging database. Enter your search criteria to view a list of documents and images that meet the search criteria. You can perform real-time searches or searches that run in the background.

If changes are made to the displayed results or if the sorting order is changed, the images displayed will reflect this change.

You can configure shortcut keys to trigger searches based on the contents of the Microsoft Windows® Clipboard.
-
You can configure searches to run in the background until the search criteria is met. This is particularly useful if you are expecting a missing document to enter your imaging system.
You might need to contact your System Administrator for your login credentials.
To log in to TRANSFLO® QuickView Viewer:
-
On your Windows device, click the Start button and then search and select TRANSFLO® QuickView.

In the User Name field of the resulting Login - Transflo® QuickView window, enter your user name.
-
In the Password box, enter your Password.
-
In the Authentication drop-down, select an authentication method.
-
If you want the current authentication type to be selected the next time you log in, check the Always use this authentication type check box. If you do not select the Always use this authentication type check box, the Login dialog box will open when you start QuickView. If you selected the Always use this authentication type check box, the Login Transflo® QuickView dialog box will not open when you start QuickView.

To change your login settings, you must click the Change Login Options menu item, from the QuickView tray pop-up menu above.
-
To log in, click OK.
-
Do not attempt to use QuickView while it is initializing. Wait until the TRANSFLO® Tray Tools button on the Windows® Task bar closes before performing QuickView tasks.

To verify that QuickView is running, right-click the Transflo icon in the Windows® System Tray. The QuickView tray pop-up menu opens.

(Optional) The following steps are optional:
-
If you have the QuickView Document Viewer open, and you want to change your login options from the QuickView tray pop-up menu, it is recommended that you close the QuickView Document Viewer first.

The QuickView Document Viewer can also be opened from specific AS/400 screens, provided that the QuickView Document Viewer has already been opened, and the screens have been configured.
-
If you need assistance while running this application contact your System Administrator.
-
The host screen emulator provides a powerful way to automate your searches. QuickView can identify any AS/400 screen and read up to four values on each screen that can be used as search criteria. This feature is often referred to as Screen Scrape.
To search for documents using the QuickView host screen emulator:
-
Verify you already worked with your system administrator to define the locations on each AS400 screen that will be used as search criteria when QuickView detects the screen.

Start an AS/400 Session that has been configured by your administrator for host searches.
-
Open the QuickView Viewer. The Search window opens.
-
If the Document Class that you want to search is not in the main window, select it from the DocClass drop-down.
-
From the Windows Start menu, point to Programs, click TRANSFLO® , click QuickView, and click Screen Scrape. The Screen Scrape Bar attaches itself to the AS/400 session.

Navigate to the AS/400 screen that has been configured for a host search.
-
Press the function key that was configured for the search. The search function key is the function key associated to View in the QuickView bar. In the example above, the QuickView bar shows F10:View. The F10 key will initiate the search.

If QuickView finds Documents based on the search, they appear in the QuickView Document List and Image Viewer windows.
-
To close QuickView and the QuickView Viewer, click the Exit Image Viewer button in the QuickView Bar.
Running a search in the background is very similar to a live search.
To perform a background search:
-
Verify your system supports this feature. The Background Search feature is disabled by default. To enable the Background Search feature, contact your System Administrator.
Log in to QuickView if you are not currently logged in.
2. Right-click the Transflo tray icon and click Hot Keys Configuration.
3. The TRANSFLO® QuickView Hot key Configuration window opens.
Double-click the Add/Edit Search Hot Keys option.
4. Click the Add button.
A blank row is added to the Assigned Hot Keys panel.
5. Select a keyboard key from the Select a letter to append to Control + C for the specified search drop-down.
6. Select a Document Class from the Select a Document Class drop-down.
7. Check the Allow this search to perform as a background search check box.
8. The Document Class Fields appear in the Available Fields box.
Highlight a Field that you want to use as search criterion and click the > button.
Repeat this until all your search fields are configured.
If you want all of the Fields to be selected click the >> button.
The Fields you selected will move to the Selected Fields box.
You can also remove Fields from the Selected Fields box.
The < button removes one Field at a time and the << button removes all Fields.
9. If you want to limit your search to a date range, select one of the options in the Specify a date range for the specified search drop-down.
The Custom option will display two date picker boxes where you can specify a start and end date for your date range.
10. Click the Apply button.
Your search will display in the Assigned Hot Keys panel.
11. Click OK.
12. Highlight a value in any Windows® program.
On your keyboard and hold down the Ctrl key, press C, and then press the hot key you configured.
13. A tray pop-up notifies you that the search is running in the background.
The pop-up indicates the Document Class and the search criteria that are being used for the search.
14. When the background search retrieved the search results, a tray pop-up notifies you that the Documents were found.
15. Click the link in the Documents Found pop-up.
The Image Viewer and the Document List open with your search results.
Background Search History
Background Search History allows you to view the status of your background searches. From the TRANSFLO® QuickView Background Search History window, you can view Documents from a background search that has completed, stop searches that are still running in the background, re-run searches, and delete searches from the Background Search History.
To view background search history:
1. Verify your system supports this feature. The Background Search feature is disabled by default. To enable the Background Search feature, contact your System Administrator.
Right click on the Transflo tray icon and click Background Search History.
2. The TRANSFLO® QuickView Background Search History window opens, with a list of the background searches that were initiated.
The Start Time column shows when the search was initiated, the Status column tells you if the searches were complete, and the Description column lists the Document Class and the Field search criteria used for the search.
Note: You can also open the TRANSFLO® QuickView Background Search History window from the Windows® Start menu.
3. To sort by the values in a column, click the column header.
4. To group your list by the values of a column, drag the column header to the Drag a column header here to group by that column area.
5. Click the Refresh List button, to update the Background Search History list.
6. To view the Documents retrieved by a completed background search, select the search in the list, and click the View Documents button.
The search results will be displayed in the QuickView Document List and Image Viewer windows.
7. A background search with a status of Searching indicates that the search is running in the background and has not yet found any results in your imaging system.
You can stop the search by selecting the search in the list and clicking the Stop Search button.
The status changes to Stopped.
8. You can restart background searches that have a status of Complete or Stopped.
To restart a background search, select a completed or stopped search, and click the Re-run Search button.
9. To remove a search from the Background Search History, select the search, and click the Remove Search button.
10. To remove all completed and stopped searches, click the Clean Up button.
The TRANSFLO® QuickView Search application allows you to search for documents stored in the imaging system. After you log in and start the QuickView Search application, the TRANSFLO® QuickView Document Search window opens.
The window has two tabs:

The Doc Class Search tab is used to specify a Document Class, Date Range, and Search Criteria for retrieving documents.

The Cross Class Search tab is used to specify a Date Range and a Value to search for documents across document classes.
Perform a Document Class SearchTo search for documents in a single document class:
1. From the Document Class drop-down list, select the class of documents for the search.
2. From the Date Range drop down list, select the type of range to use for the search.
If you select Custom, Start Date and End Date drop-down lists are displayed that allow you to enter a specific date range.
3. In the Search Criteria area, enter values in the fields to limit the search results (You can use the asterisk * to perform wild card searches).
4. If at any time it becomes necessary to clear your entries, click Reset to return to the default values.
5. Click Search.
The Image Viewer and Document List window opens with your search results.
The date and time the documents that were imported into your Document Repository appear, in the Import Date Time column.
Perform a Cross Class SearchYou can search for Documents in all of the Document Classes that you have access to. This is useful when you are using search criteria to look for related Documents that are in more than one Document Class. It is also useful if you are not sure which Document Classes hold your Documents.
To perform this Cross Document Class search, your System Administrator must configure Fields in each of your Document Classes as Cross Class Search fields, in the TRANSFLO® Administration Tool.
To perform a Cross Document Class search:
1. From the TRANSFLO® QuickView Document Search dialog box, click the Cross Class Search tab.
2. On the Cross Class Search tab, select the type of range to use for the search.
If you select Custom, Start Date and End Date drop-down lists are displayed that allow you to enter a specific date range.
3. If you are a TRANSFLO® Administrator, the Search in Company drop-down list is available, from which you can select a Company.
4. Enter a search value in the Enter the value to search field.
Note: Wild card searches are not supported, when you perform a Cross Document Class search.
5. Click Search.
The Image Viewer and Document List window opens with your search results.
In all Cross Document Class searches, the Import Date Time and Document Classes Names will be in separate columns.
Another column will contain comma separated lists of Field names and Field values for each Document.
The QuickView Image Viewer is used to view the images returned as a result of the searches performed in QuickView. The Image Viewer allows you to view either a single image or multiple images. Images can be printed or emailed from the Image Viewer window.
Once search results are returned from a search, the Image Viewer will display images the way your System Administrator has configured it. If you change the view, the next time you run a search, the last view you used will be used.
To view Documents in the Image Viewer:
1. If your search profile was saved to view a single page at a time, your Image Viewer opens showing the first page of the search results, so that the entire Document image fits in the Image Viewer.
2. To view multiple images at a time, click the Multiple Page button.
When multiple images are displayed, the currently selected images are surrounded by a blue border.
The Single Page button changes the Image Viewer to the single page view.
3. To view nine images at a time, click the 3x3 button in the tool bar.
You can go back to viewing four images at a time by clicking the 2x2 button in the tool bar.
4. To view data associated with a Document, hover you mouse over the Document’s image.
5. To view the search parameters that generated the list, select Information from the View menu.
6. The print and email activities are performed only on those images that have been selected.
To select multiple images, hold down the [Ctrl] key on the keyboard and click the desired images.
Once you have selected one or more images, you can Print, Email, Export, or Delete them.
Each of these actions is explained in turn in the sections below.
TRANSFLO® QuickView 4.8 and higher supports viewing files in additional formats other than TIFF and JPG formats. If you have a software program installed to view a file format, QuickView will either allow you to view the file in the Viewer in its native format or it will launch the program registered to open the file type in Microsoft Windows®.
To view a file in its native format:
1. Perform a search that returns a file format that is not a TIFF or JPG.
2. Select the native file, and click the View Image icon in the tool bar.
3. If the file type is supported, and the program needed to open the file type is installed, the file will open in the Image Viewer.
The example below shows Adobe Acrobat opening a PDF file within the Image Viewer.
4. If QuickView cannot preview the file, the image viewer will contain a button that when clicked will attempt to open the file with an external application.
Note: If Adobe Acrobat is not installed and you try to open a PDF file in the single page viewer, you will be prompted to save the file instead.
To print the selected images, click the Print Documents icon at the top of the window. You can also choose the Print command in the Document menu. In the resulting Print window, select a printer, adjust optional settings, and then click the Print button.
To save the changes to the data you made to editable Fields in the Document List and to save any image rotation you did in the Image Viewer, select Save Documents and Data from the Document menu.
You can save Document images to your local machine.
You can also copy the images to the Windows® Clipboard on your local machine.
To copy the current Image to the Windows® Clipboard on your local machine, select Copy To Clipboard from the Document menu.
You can then paste the image into a file open in a word processing application or an image editing application on your computer, etc.
To save the current Image to your local machine, select Save As from the Document menu.
To save multiple images, select the images in a multi-image view and select Save As from the Document menu.
The Select Save Format window opens.
To save the Documents as separate attachments, check the Separate Documents button.
To combine the images into a single Multi- page TIF, check the Multi-page TIFF image button.
To save the images combined in a multi-page PDF file, check the PDF Document button.
If you always want to use the format you selected, check the Always use selected format, don’t ask again check box.
You can select a set of images in the Image Viewer and attach them to an email.
You can also send the Document Date and Document notes, along with the images by e-mail.
To send Document Images, Data, and Notes:
1. Select Preferences... from the View menu.
The Preferences window opens.
If you wish the Index Fields to display beneath the images, check the Show Text Under Documents check box.
If you want Index Fields to be written to the image files, check the Allow Write Documents Header check box.
Known Behavior: If Allow Write Documents Header is selected, JPEG images will be converted to Black and White TIFF images, before the image header is written to the image.
This may result in degradation of the image quality.
For Document Notes to be attached to email messages along with the image files, check the Allow Attach Document Notes check box.
2. After making your selections, click OK.
3. Select the Documents you wish to send in the Image Viewer.
4. Select Send To Mail Recipient... from the Document menu.
5. If you selected Allow Write Documents Header, the Image Header message box opens.
Click the Yes button, to have Field values printed on the header of the images.
6. If you selected Show Text Under Documents and/or Allow Attach Document Notes, the Select items to include window opens.
Check the Index fields check box, if you wish to include Data in your email attachments.
Check the Document notes check box, if you wish to send Document notes along with the images.
7. The Select Attachment Format window opens.
To send the Documents as separate attachments, check the Separate Documents button.
To combine the images into a single Multi-page TIFF, check the Multi-page TIFF image button.
To send the images combined in a multi- page PDF file, check the PDF Document button.
If you always want to use the format you selected, check the Always use selected format, don’t ask again check box.
8. Your e-mail client will open an email with the attached Documents.
Enter a recipient in the To line, a subject in the Subject line, and a description of the attachments in the body of the e-mail.
Send the e-mail.
Once you have found Documents, you can export the data in the Document List from the Image Viewer.
The different file formats available for export are Excel 2007, Excel 2003, PDF, HTML, MHT, and RTF.
To export the data in the Document list:
1. From the Export Document Data menu, select the file format that you want to export the data to.
The Windows Save As window opens.
2. Navigate to the folder where you would like to save the exported data.
3. Type a file name in the File name box and click OK.
You can initiate a new Document search from the Image Viewer, independent from the Hot Keys that you have configured.
You can start a new search, or you can search for additional Documents to add to your existing search results.
To perform a new Document search from the Image Viewer:
1. Select New Search from the Search menu.
2. The Document Search window opens.
Select a Document Class, from the Document Class drop-down.
3. If you are a TRANSFLO® Administrator, select a Company from the Search in Company drop-down.
The Search in Company drop-down is only visible to TRANSFLO® Administrators.
4. To pick a start date and end date for your date range, select Custom from the drop-down, and select or enter the Start Date and End Date.
5. Enter search values in any of the boxes, in the Search Criteria pane.
You can use the asterisk (*) character to perform wild card searches.
6. Click the Search button.
Your old search results will be replaced with the new search results.
Note: You can also perform a Cross Document Class search from this window.
To search for Documents to be added to your existing search results:
1. From the Search menu, select Add to Previous Search.
The Document Search window opens.
2. To pick a start date and end date for your date range, select Custom from the drop-down, and select or enter the Start Date and End Date.
3. Enter search values in any of the boxes in the Search Criteria pane.
You can use the asterisk (*) character to perform wild card searches.
4. Click the Search button.
The new search results will be added to your previous search results.
The full Tool Bar is available only if you are viewing images in Single image mode.
The tool bar is used to Rotate, Zoom, and Print images.
You can also print Documents and view notes from the Tool Bar.
The tool bar buttons are explained in the table below.

To zoom to a specific area on an image, click on the image and drag the mouse pointer, to draw a rectangle around the desired area of the image. When you release the left mouse button, the selected area will be enlarged.

To return to the normal view, right-click the image.

Clicking the Save button after performing Rotate Left, Rotate Right, or Rotate 180° actions may change the position of the document in the Document List and will take you to the top of the list.
The QuickView Image Viewer supports various keyboard shortcuts (Hot Keys). Keyboard shortcuts provide a convenient and efficient way to view the image in your Image Viewer.
The following table lists the shortcut keyboard combinations available to the Image Viewer and the actions they perform.

To configure hot keys to perform document searches:
1. Log in to QuickView .
2. Right-click the Transflo tray icon and click Hot Keys Configuration.
Note: You can also trigger a live search configuration, by selecting the Hot Key Configuration option from the QuickView sub-group in the TRANSFLO® group of the Windows® Start All Programs menu.
The TRANSFLO® QuickView Hot Key Configuration window opens.
3. Click the Add button.
A blank row is added to the Assigned Hot Keys panel.
4. Select a keyboard key from the Select a letter to append to Control + C for the specified search drop-down.
5. Select a Document Class from the Select a Document Class drop-down.
Note: By default, you will not be able to perform searches as background searches.
To enable background searches, see your System Administrator.
The Document Class Fields appear in the Available Fields box.
6. Highlight a Field that you want to use as search criteria and click the > button.
Repeat this, until all your search fields are configured.
If you want all of the Fields to be selected, click the >> button.
The Fields you selected will move to the Selected Fields list box.
You can also remove Fields from the Selected Fields list box.
The < button removes one Field at a time, and the << button removes all Fields.
7. If you want to limit your search to a date range, select one of the options in the Specify a date range for the specified search drop-down.
The Custom option will display two date picker boxes where you can specify a start and end date for your date range.)
8. Click the Apply button.
Your search will display in the Assigned Hot Keys panel.
9. Repeat this until all of your Hot Keys are configured.
10. Click OK.
Note: You can remove a Hot Key from the Assigned Hot Keys pane, by selecting the row and clicking the Delete button.
1. Highlight a value in any Windows® program. On your keyboard, hold down the Ctrl key, press C, and then press the hot key you configured.
2. The TRANSFLO® QuickView Document Search window opens, with the primary search criteria filled with the value retrieved from the Windows® clipboard.
If you only configured a single field for the search, you will not see this window.
3. Enter values in the remaining search criteria boxes.
You can use the asterisk * to perform wild card searches.
Click Search.
Note: Holding down the Ctrl key while clicking the C and then the D keys on your keyboard will launch an empty TRANSFLO® QuickView Document Search window.
This window will also open when you click the TRANSFLO® QuickView Search short cut on your desktop or when you select the Search option from the QuickView sub-group in the TRANSFLO® group of the Windows® Start All Programs menu.
4. The Image Viewer and the Document List open with your search results.
The date and time the Documents were imported into your Document Repository appear in the Import Date Time column.
Note: If your search returns Image error: Thread was being aborted, retry your search.
In order for the keyboard combinations you configured to work on an AS400 session using the Client Access emulator, you must map the Ctrl combination to perform Edit/Copy.
To configure the AS400 to use Ctrl for Edit/Copy:
1. Open a Client Access Emulator session.
2. Expand the Edit menu, point to Preferences, and click Keyboard.
3. In the Keyboard Setup window, click the Customize button.
4. The Customize Keyboard window opens.
Click the C button in the Select a Key panel.
5. Select Edit Copy from the Function drop-down.
6. Click the -> button next to Ctrl.
[edit-copy] appears in the box next to Ctrl.
7. Click Save from the File menu and close the Customize Keyboard window.
8. Close the Keyboard Setup window and all Client Access emulation sessions.
9. Re-open a Client Access session and highlight some text.
The keyboard combinations you configured for QuickView will now work on your Client Access session windows.
The Document List contains all the data related to the images in the Imaging System that pertain to your search results. The Document List and the Image Viewer work together. Each row in the Document List has index data that corresponds to an image in the Image Viewer. Changes made in the Document List can affect the Image Viewer and vice versa.
The Document List allows you to view the data in various views.
You can re-size and change the position of the Document List window and the Image Viewer window.
You can dock the Document List to the top, left side, bottom, or right side of the Image Viewer, by dragging and dropping the Document List to the desired position.
You can also un-dock the Document List, so that it is floating, as shown throughout this topic.
When you close the Document List, most of the changes you make to your Document List and Image Viewer will be saved, when you close these windows.
The next time you perform a search, these windows will open in the last-saved position's configurations.
An exception to this is when your System Administrator modifies your profile and changes the configuration of Document List and Image Viewer on the TRANSFLO® Server.
When this happens, your preferences will be changed, the next time you open Document List and Image Viewer.
The date and time the documents were imported into your repository is shown in the ImportDateTime column.
You can narrow down the number of items shown in the list, by selecting the check boxes next to the desired rows and clicking on the Show Selected button.
The Show Selected feature also limits the images that are visible in the Viewer Control.
You can show all of the items again, by clicking on the check box on the header row and clicking on the Show Selected button.
The Notes icon next to a row indicates that there is a Note for the Document.
Sort the Document List
To sort the Document List by a column, click on its header.
This sorts the list in ascending order.
Clicking the header again sorts the list in descending order.
Clicking on the header a third time removes the sort.
The direction of the sort is displayed by the up or down arrow, to the right of the header text.
Set the Order of Columns
The order of the columns can also be changed. To do this, simply drag and drop the header to the desired position.
Edit Data
If your System Administrator has set an Index Field as editable, you can click on a cell twice and edit the value.
Note: If your Document List has more than one page of rows, when you save your changes, the Document List will refresh and take you to the top of the list.
You may have to scroll down to find the row you were editing.
Pressing the Shift and F2 keys simultaneously will change all values in the column, to the value you change in the cell.
This can also be accomplished, by right clicking the cell and selecting Edit All Documents from the pop-up menu.
To save the changes to your Imaging System, tab out of the cell(s) you are editing and click the Save button.
You can also press the Ctrl and S keys simultaneously, to save your changes.
Use the Navigation Bar
Navigation buttons are provided at the bottom of the Document List, to allow you to quickly navigate to a desired Document.
You can also type the row number of the desired document, to navigate directly to that row.
When you use the Navigation Bar to navigate to a Document, the corresponding image is displayed in the Image Viewer and is selected.

The QuickView Document List supports various keyboard shortcuts (Hot Keys). Keyboard shortcuts provide a convenient and efficient way to work with the Document List.
