Send Load Documents in a TripPak Drop Box
Getting originals back from your drivers can take time and be costly to process. The Transflo TripPak drop box shipping service simplifies the process at a fraction of the cost of other shipping services. This dedicated shipping service, exclusively for the transportation industry, offers a nationwide network of drop box locations where drivers can simply drop off their load documents inside a pre-printed shipping envelope.
Carriers can take advantage of automated bulk-scanning and indexing services (recommended) and receive the original paper documents back through standard mail. (It is also possible to decline the scanning and indexing services, and simply use the service for shipping paper documents back to the carrier.)
As a driver, follow these steps to use this service:

Verify your fleet manager has an active TripPak service account with Transflo.

Drive your truck, pickup and deliver the load, and gather all paperwork. Complete all your entries in the boxes and lines of the TripPak form. Place all your listed receipts and documents inside as flat and neat as you can.
Tip: Print in clear letters with accurate dates and numbers.

Choose the right envelope or package for your load, fleet, route, or broker-carrier agreement:

TripPak Express Consolidated: Send your load documents and have them processed once per week on a specific company-designated day (for example, every Wednesday). Allow up to five (5) days in advance for shipping, receiving, sorting, and processing your documents.

TripPak Express 2nd Day Service: We receive your envelopes in two (2) business days.

TripPak Express Next Day Service (deprecated): Overnight delivery of documents is no longer available.
Tip: Drivers often ask about a cut-off day or time to submit their documents under the TripPak Express Consolidated weekly service. Unless the carrier uses second-day service, the mobile app, self-service kiosks, or another faster method, it is possible for a driver to submit a TripPak envelope early in week 1 and not see the load reflected in their paystub until the following week 2. As a fleet manager, advise your drivers about the your expected timeline, policy, and procedures. For example, you want all driver TripPaks dropped off by 4:00 PM every Thursday to be reflected in paychecks by Friday of the following week.

Seal your envelope and drop it in the nearest TripPak Express drop box. At some fleets, if you forget or arrive back at the terminal, you can give your envelope to your billing team or a billing team inbox at your fleet terminal. Ask your manager what the policy is.

When your documents are received, they are scanned and processed (note: if your company declines scanning and indexing services, your company will receive only the paper documents as part of the shipping only service option). The Transflo automated workflow assigns a document type to all documents so a bill-of-lading (BOL) is distinguished from a fuel receipt or weight ticket. Index field values are also captured to identify the load ID, origin, destination, rates, and other required data.

The TripPak drop box shipping service routes your documents directly to the Transflo Processing Center so clients get their electronic documents faster. Billing time, effort, and costs are all reduced so drivers, fleet managers, and back office staff can work on other tasks or go home in time for dinner with family.
Your electronic scanning documents are instantly e-mailed to the carrier. As a driver, you also receive electronic copies for your records.

With scanning and indexing services, you will receive electronic copies of your documents complete with index field values and documents types while your paper originals are on their way back to you . Use the e-mail notification links and confirmation IDs to view your documents on the Transflo Express website for up to 14 days at https://viewer.transfloexpress.com.

Important! If your company declines scanning and indexing services, your company will receive only the paper documents as part of the shipping only service option. Ask your supervisor if you can receive electronic copies of those documents. They might be scanned by your carrier in-house or scanned by an external source.
