Transflo Wallet Fuel Advance Guide for Drivers
New! Introducing the Transflo Wallet app with fuel advances for drivers. Our exclusive pre-release cloud software platform includes a new web portal for brokers and carriers and the new Transflo Wallet mobile app for drivers. Your carrier can now work with leading brokers powered by the Transflo Wallet platform and driver app to create and administer a complete fuel advance program and send fuel advances with discounts to you and other drivers to expedite load delivery.
As a driver working for a leading freight carrier or trucking company, you typically receive an invitation to download the new Transflo Wallet mobile app. This typically means your carrier is working with an innovative freight broker on the advanced Transflo network. To expedite delivery and maximize performance, brokers can offer fuel advances to carriers, owner-operators, and ultimately to drivers.
A fuel advance represents a pre-approved credit to you. As a driver, it enables you to purchase fuel to help you deliver your assigned load at no expense to you.
The Transflo Wallet app provides secure digital credit cards and everything you need to find the best participating diesel fuel locations, conveniently pay for fuel with your mobile phone or tablet, and get back on the road.
Why Am I Getting Fuel Advances?
-
Providing a fuel discount can substantially reduce operating costs for you and your carrier. A typical discount can save as much as 20 cents per gallon (about $2,000 per truck each year).
-
Fuel is among the largest variable expenses for a carrier after driver salary and settlements. In 2020, fuel expenditures represented 30.8 cents per carrier mile. By September 2022, fuel costs more than doubled to 76.1 cents per mile. (Source: ATRI Cost Study, 2022)
-
Brokers are more successful when carriers and drivers are successful. Brokers who offer fuel discounts to carriers help to enable mutual financial profitability. Carriers are generally more loyal to a broker with a fuel program because they are both more profitable.
-
Fuel discounts can grow broker revenue with an average transaction contributing somewhere between $5.00 and $10.00 per advance.
-
Fuel advances are typically funded by brokers; however, Transflo Wallet also supports carrier-broker hybrid provider advances.
As a driver, contact your boss or fleet manager to determine if your carrier plans on using Transflo Wallet fuel advances. If your carrier participates, you will receive an invitation on your smart phone or tablet to download the Wallet app to get fuel advances. (During the BETA phase in 2024, drivers will receive instructions to download the app directly to their smart phone or tablet.)
Download the Transflo Wallet app from the Google Play or App Store.
-
You can wait for an optional invitation or skip to the next step to download the Transflo Wallet app on your own. Allow time for an invitation from your carrier to be sent to you. When you receive it, open your SMS text message app and tap the link in the personal invitation from your carrier, fleet manager, owner-operator, or parent organization. Check your text messaging app for an invitation that includes the following items:
-
Starting in June 2024 (after the BETA trial period has ended and Wallet 1.0 is released), all first-time user invitations take you to the Apple AppStore or Google Play Store to download the Transflo Wallet app.
Tap GET to download and install the app on your mobile device.
Note: During the 2024 beta phase, the Wallet app will not be available to the general public yet. Drivers will be able to install a special APK release of the Wallet app directly onto a phone or tablet. Tap the APK file and then select Install.
Tap INSTALL.
The Transflo Wallet was installed message appears. Tap Open.
-
After installation, tap the Transflo Wallet app on your phone or tablet to open it.
-
On the Welcome screen, tap Sign Up.
-
Enter your first and last name and then tap Next.
-
Enter a username and then tap Next. The username must be unique to identify you on the platform. If your first choice is already taken by another driver, try another username using upper or lowercase letters and numbers. Special characters are not allowed except for the underscore character.
Examples: jonreed95 or Ann_Baker204
Tip: As a security best practice, do not write down your credentials. Use a secure password vault or secure app to manage your usernames and passwords.
-
Make up a password consisting of at least eight (8) total characters with the following requirements:
-
no spaces
-
at least one number
-
at least one special character
-
at least one UPPERCASE letter
-
at least one lowercase letter
Examples: w0rx4*Me or just8gotGa$
-
-
(Optional) To allow the app to use Face ID (if supported by your device and permissions), tap Allow.
-
Choose your country code (at this time, North American codes for Canada, USA, and Mexico are supported) and then enter your mobile phone number. Tap Create Account.
-
A Confirm Phone Number message appears:
-
(Optional) At this point, you have a new account but it is not activated yet. You have a username and password to log in, but your phone number is not yet verified (a required next step). If you are interrupted and your attention is required elsewhere, the following message appears:
Are you sure you want to leave? Your account has been created. If you leave now, you will need to log in and verify your number.
-
To temporarily stop the registration process, tap Leave. When you have more time later, open the Transflo Wallet app and tap Log In to finish verifying your phone number.
-
To finish the registration process now, tap Cancel. We recommend that you do not leave and finish all the first-time sign-up steps to activate your account.
-
-
Allow up to a minute for a text message to arrive with a security code to verify your phone number. Enter the code and tap Activate Account.
-
On some devices, depending on your settings and personal preferences, you can copy and paste the code, view it at the top and easily memorize it for a couple seconds, or have the code automatically go where it belongs on this screen.
- If an Incorrect code error message appears, you can try entering the code again.
-
The security code might expire for your protection. Tap Request New Code to try again with a fresh code.
-
At this point, you have a new account but it is not activated yet. This step is important, if you do not complete all steps, you will have to start over with a new account.
-
-
(Optional) Enter your e-mail address or tap Skip. Ask your manager if they need you to register with a valid e-mail address.
-
Congratulations! You are registered and can begin purchasing fuel at a discount with virtual credit cards that appear inside your mobile app.
-
After the Registration Successful! message appears, the app logs you in automatically. Tap Continue.
-
In the future, you can tap Log In and enter your username and password for your account.
If you receive an updated app, your mobile device might show the following message:
Do you want to install an update to this existing app? Your existing data will not be lost.
The message reminds you that your fuel advance data is safely stored online, so you won't lose any active fuel advances when you tap INSTALL.
Your use of the Transflo Wallet app is subject to the current license agreement and terms of service.
-
Start the Transflo Wallet app and log in.
-
At top right, tap User Settings.
-
On the Profile screen, tap Legal Disclosures.
-
Review the Transflo Terms of Service and other legal disclosures covering the components, privacy policy, features, and any other licensed items in your Transflo product.
-
If you already signed up for your driver account, open the Transflo Wallet app on your mobile phone or tablet.
-
Tap Log In.
-
Enter your username.
-
Enter your password.
-
(Optional) Instead of entering your password, on devices that support facial recognition such as Apple iOS devices with Face ID, your identity can be authenticated as you look at the screen and front camera. Touch ID for finger (or thumb) prints and other biometric screening options might also be available on your specific phone or tablet.
-
To set up biometric security, such as having your device recognize your face to log in instead of entering a password, follow these steps:
-
Switch to your mobile device Settings and set up a biometric option such as thumb print recognition or face ID scanning. The exact steps vary for Android and iOS devices.
Tip: Search your Settings app for face or biometric.
-
Switch back to Transflo Wallet and tap User Profile.
-
On the Profile screen, tap Enable Biometric Security to turn it ON.
-
If you see a message box reminding you to Go to settings to enable Biometrics, tap Cancel and go back to the first sub-step.
-
Tap Log Out.
-
The next time you start the Transflo Wallet app, you might see the Do you want to allow Transflo Wallet to use Face ID? prompt. Tap OK.
-
To log in, enter your account user name and choose one of the following methods:
-
Enter your password.
-
Hold your device toward your face and allow your front camera to log you in using face recognition.
-
Use another previously setup biometric method such as a thumb print.
Tip: After you set up a biometric option in your phone or tablet Settings app, you can use that method in Transflo Wallet to log in, view fuel cards, purchase fuel, and perform other actions that require secure authentication. Exercise caution because both Apple iOS and Google Android devices admit their biometric authentication methods are strong but not perfect. For example, it is possible for someone with similar facial features to pass a face scan.
-
-
To view your fuel advances and locations on a dashboard or list view, follow these steps:
-
Start the Transflo Wallet app on your mobile phone or tablet and log in.
-
Swipe left or right to view all your current fuel advances and their remaining balances.
-
Review the status of each fuel advance card:
-
Not Active: A red stripe indicates the fuel advance is pending, typically waiting for the load to be picked up and an associated fuel purchase to start.
-
Active: A green stripe indicates the load has been picked up and your fuel advance is ready to be used at the nearest participating location that is convenient for you.
-
Used: An orange stripe indicates some portion or all of the fuel advance has been used. Any remaining balance is shown on the card.
-
-
Not seeing any fuel advances? You might not have any current fuel advances assigned to you or your loads. Periodically check in with your carrier, owner-operator, or fleet supervisor to make sure they have your name and current mobile phone number correctly saved in the Transflo Wallet web portal and their TMS, load assignment, or fuel advance financial systems.
Even when you have no current fuel advances, the Transflo Wallet app will allow you to view the participating fuel stations and fuel advance discounts closest to your current location on a map.
-
Start the Transflo Wallet app.
-
On the following screen, tap Map of Fuel Locations.
Tip: Instead of showing this screen every time you currently have no fuel advances, the app might go directly to the map view.
-
Pan north, south, east, or west to browse the map or enter a ZIP code, city, or address.
-
Tap List View to view fuel stations as a list.
-
Tap Map or Home to go back to the map view.
To view your fuel advances and locations on a map, follow these steps:
-
Tap Map of Fuel Locations below an available fuel advance card in your Transflo Wallet app.
-
Swipe left or right to shuffle through your cards at the top and view prices by location, if any are available, on a map for each card in your wallet.
Options:
-
Enter a location in the search bar to view participating locations where you can redeem your fuel advance.
-
Tap List View to switch from the map to a list.
-
Tap Map View to switch from the list to a map.
Example: List view
Example: Map view
-
-
Tap a location in the list or on the map to view details about that location.
-
You can go to any of the listed locations. The lowest available price and best discount shows Deal above the price per gallon.
Locations without discounted pricing show only the standard diesel fuel price.
-
Review the status of each fuel advance card:
-
Not Active: A red stripe indicates the fuel advance is pending, typically waiting for the load to be picked up and an associated fuel purchase to start.
-
Active: A green stripe indicates the load has been picked up and your fuel advance is ready to be used at a convenient location.
-
Used: An orange stripe indicates some portion or all of the fuel advance has been used.
Example: In the following example images, a driver can plan a route to get the best fuel discount but because the card is NOT ACTIVE the fuel advance is not ready to be used (the Use Advance button is disabled or grayed-out). You cannot use an advance until the load is assigned, picked up, and the virtual fuel card is activated.
-
Tip: You can use your advance to purchase fuel at any convenient participating location, even if they do not offer a discount below the regular fuel price.
Anytime after you pick up the load, when you are ready to get fuel (or you are about to decide which card and fuel station location you want to use), follow these steps:
Tip: You can use your advance to buy diesel fuel at any convenient participating locations, even if they do not offer a discount below the regular fuel price. Do not worry about running out of gas attempting to get to the one distant location that might maximize your fuel savings. Go to the most convenient location for you.
-
Start the Transflo Wallet app and log in.
-
Swipe left or right to select the card for the current load you picked up and need fuel to deliver.
-
Tap Use Advance.
-
Based on your current location (if you allowed the app permission to get your location), a list of the nearest fueling stations appears. You can also search by ZIP code or city and state. No map appears as yet (that feature is coming soon in a future release) but you can tap a fuel station in the list to get essential details to help you decide if is a convenient location for your next fill-up.
-
Tap Use Advance again. At this point, you have selected a card and a location. If you are not ready to get fuel, tap Cancel. Otherwise, continue to the next step.
-
If your device supports biometric authentication, remain still to let it read your face or press your thumb to the on-screen fingerprint sensor. After a short pause, the next screen appears. If not, tap Display Card Details.
If you already used a portion of the advance, the app shows your remaining balance:
-
For your own security, if your identity is not already confirmed by optional facial recognition, a thumb print, or another approved biometric verification method if one is available, you are prompted to enter your password.
Tip: This is the original password you decided to use when you first signed up consisting of at least one number, one special character, and at least eight (8) total characters.
Examples: passWerd4u$ or tikTakT0#
-
A valid digital credit card is generated in the app with a maximum spending limit up to your original approved advance or the remaining balance. At the fuel station pump keypad or point of sale credit card machine inside the store, you are prompted to enter a driver ID (at some locations, you are prompted to enter a driver ID, a separate unit number, or both in different order to prevent fraud). Tap Request Driver ID.
Example: Transflo Wallet Security
In the image below, the security of the driver, carrier, and broker issuing the advance are all protected during the fuel transaction by the following measures:
-
biometric authentication (fingerprint or face) or re-enter your password
-
dynamically generated digital card number
-
live gyroscopic liquid fuel effect as your device tilts left and right
-
required multi-factor driver ID and unit number at point-of-sale
-
-
For security, the app varies when you are prompted to enter a pin number from a text message. Enter the pin you receive by text message into the app. If you do not receive a PIN after one full minute, make sure you are connected to a data or wireless network and tap Request PIN again.
-
At this step, you now have a dynamically generated digital fuel card with a valid 8-digit driver ID and 6-digit unit number. Follow the prompts on the physical point-of-sale fuel pump display to enter the requested codes on the keypad at the pump.
If you make a mistake, tap Re-request Driver ID and try again.
-
After you (or a pump attendant) enter the codes, you can start fueling. Tap Close.
-
Tap OK or Close.
It happens. Fear not, you can reset your own password to any new password you want without contacting your administrator or Transflo Support.
-
On the Log In screen, tap Forgot Password.
-
Tap Reset by SMS Message.
-
Enter your username and tap Next.
-
Allow a few minutes for a verification code to appear. Check your text messaging app for the code and enter it. Tap Next.
-
You can now reset your password. The old password is no longer valid. Enter a new password in the Enter Password field and enter it again in the Verify Password field to make sure your entries match. Tap Next.
-
On the Password Updated success screen, tap Log In. Enter your username and your new password.
The username is a unique identifier for you on the system. As a security best practice and fraud mitigation step, never write down or share your username. When you first sign up, we recommend that you choose a username you will always remember. If you forget it, during the BETA evaluation period, you can try contacting Support or the Wallet BETA contact you last worked with. Support cannot recover or access your secure credentials so please be patient during weekday business hours only while an authorized administrator confirms your identity and resets your username.
Allow the Wallet app to access your SMS text messages and your location.
SMS Messages: Tap Allow for the app to have access to SMS text messages. These secure messages are uniquely associated with your phone number to help reduce your fraud risk exposure when your app generates a unique digital fuel advance card.
Location: Tap Allow for the app to access your device location to show the nearest fuel stations on a map.
During the BETA phase, maps are not yet available in the app. If you allow location access, the list of fuel stations is updated based on your location. If you deny location permissions for the Wallet app in your device settings, you would have to enter a city and state or ZIP (postal) code to get a list of fuel locations when you tap Use Advance.
Make sure you are on a 4G/5G wireless data network (plan costs vary by provider) or can access a wireless (Wi-Fi) network. Without access to the internet, the app cannot function. It is a true digital wallet and live network access is required to provide secure digital fuel cards and location data in real-time.
If the following No Network Connection offline screen appears, verify you have access to a network connection and tap Try Again.
Not seeing any fuel advances?
-
You might not have any current fuel advances assigned to your loads.
-
Periodically check in with your carrier, owner-operator, or fleet supervisor to make sure they have your name and current mobile phone number correctly saved in their TMS, load assignment, and fuel advance systems.
-
Verify with your fleet manager or carrier that you are assigned to a load with an associated fuel advance that has also been assigned to you as a driver by name. Verify the exact numbers match for the load, BOL, TMS reference number, and fuel advance reference numbers and verify your carrier has your exact name and mobile phone number (US, Canada, or Mexico).
If you change jobs, change your phone number, retire, or otherwise need to cancel your Wallet account, you can delete your old account. It is also possible that you might have signed up using an old e-mail address and now want to sign up using a different new e-mail address. In this case, it is safe to delete your old account and create a new one. Make sure you are ready to cancel because you will be deleting your account without a way to restore the associated data.
WARNING! If you delete your account, you cannot access any associated fuel advances.
Before you complete the following steps, make sure you are ready to delete your account permanently:
-
In the Wallet app, click User Settings.
-
On the Profile screen, tap Delete Account.
-
To confirm, tap Delete.
Tip: When you registered for the Wallet app, your account was associated with your phone number. If you no longer have access to that old number (for example, you change jobs or get a new mobile device with a new phone number), you should do the following:
-
Delete your old Wallet account
-
Set up a new Wallet account with the new phone number
