Transflo Factor AI Release Notes
The release notes on this page summarize the early BETA edition releases of Transflo Workflow AI for Factors (Factor AI). Knowledge base (KB) articles will be updated to align with future product development. Users and administrators are advised to check back periodically for updates.
All BETA release features, estimates, and documentation are subject to change with or without notice.

Tip: To differentiate the original Workflow AI editions for brokers and factors from the new next-generation products for 2026, we have made the following product name updates here in the KB:

Broker AI: The original first-generation Workflow AI Broker edition.

Carrier AI: Not applicable. Legacy DMS and Synergize solutions which were branded Transflo Intelligent Automation have been completely re-architected, re-designed, and re-branded Transflo Workflow AI.

Workflow AI for Carriers, Brokers, or Factors: The new next-generation suite of products. Workflow AI for Carriers is currently available. Workflow AI Broker and Workflow AI Factor editions are in BETA phase through the remainder of 2025. Enhancements to all three editions, which will share common platform components and features are planned for 2026.

This release will include the following new features and enhancements:

As the Transflo Workflow AI platform expands, we continue to perform migrations from legacy environments to the new Workflow AI unified platform for factors. Separate editions are also available for carriers and brokers; however, the solutions share the same platform and resources to optimize performance.

The BETA tag has been applied again as the original released product transitions to a new architecture and completely updated user interface. The BETA phase is expected to continue through November, December, and January of next year (2026).

Resolved an issue where an additional non-required copy of a document was created each time a page was created.

Enhanced accuracy and relevance of client and debtor searches to provide users with appropriate information.

Added errors array from HS to SQS message.

When a new work item is created after grouping activity, the email date is now derived from the parent work item.

To optimize grouping speed and performance, a front-end limit of 500 initial work items is now standard behavior.

To triage issues and expand integration possibilities, system engineers can get a list of work item IDs by API request.

Users can process work items with one or more exceptions based on business rules more efficiently.

Required field functionality enhancements for the Invoice and Additional Fees sections. Payment fields are pre-populated (for example, Type is set to the first value from the list and Amount is set to the load amount.

Back-end script enhancements. When a script recheck status with HS is halted, the system no longer automatically re-sends the work item to HS.

The Details column now displays the error message received as a part of the error status when a work item is in an error state.

Updated the monitoring system to categorize system error messages for administrators.

The current system monitoring tool indiscriminately sends out error messages, creating an inefficiency in identifying and prioritizing the resolution of critical issues. The new approach provides a more nuanced categorization, distinguishing between routine informational messages, known issues that could escalate and require investigation, and unexpected errors needing immediate attention and classification.

Administrators can be alerted about processing errors by e-mail notifications or by API.

Improved performance in target areas (for example, uploading a file as a new work item could take as long as 600 seconds in previous releases; reduced this time to under 10 minutes).

Tested and verified audit log creation and verified that all dependencies are also up and running when the system starts.

After a planned upgrade to our proprietary machine learning engine, all features will enjoy a period of stability. No new features will be introduced during this phase, no new bugs will be fixed, no new changes will be made, and no new documentation or training will be required at this time. However, this phase will require validation and regression testing.
January, February, and March (2024 Q1) updates include:

Dev-to-production environment stability; approximately one to two week time frames in which no new changes will be introduced; once we start upgrading all our flows to the latest version (v38), they all have to be rebuilt first.

ARF-2279-FE: The work item page has been redesigned to remove the header, place navigation on the right side, shrink gray zones by 1-2 pixels, reduce the angle of rounded corners, and lock the action bar so it is persistently displayed at the top.

ARF-2269-BE: Added a USER PRODUCTIVITY dashboard report to now be accessible through an API call.
-
ARF-2255-BE: Super-admins can now configure the tenant time zone which will auto-update the date-time data in all fields such as the Email Date or Received Date (Received At). In addition, audit log stamps also appear in the configured local or regional time zone.

ARF-2252-FE: In this release, E-mail Address settings has been renamed to Default CC Recipients.

ARE-2185-FE: This release adds scrolling on the Work Item Details page if multiple documents appear (previous releases would extend the height of the page).

ARF-1928-BE: In this release, we have implemented the Transflo error messaging API and have modified error handling to include HTTP POST requests to the Transfio API using the appropriate endpoint. Separate validations were run to verify payloads are accurate, to handle potential API errors gracefully, and to maintain e-mail notifications.

ARF-1926-BE: Added a troubleshooting capability to our existing monitoring features. To improve product quality we have enhanced our debugging process for the detection of any stuck work items. This release includes a new internally managed procedure and associated script that will automatically check known pain points before a notification is sent and help localize errors.

ARF-1777-FE: In this release, only admins and super-admins (not other users with reduced permissions) can view the deleted status of a work item .

ARF-2342-BE: Maintenance performance is enhanced in this release. The database has been optimized to identify and eliminate unused data that should be archived for future reference. The database schema is streamlined and application performance has improved.

ARF-2085-BE: Super-admins can now configure which status values will trigger the system to send SQS messages. Previously, the system would send SQS only for APPROVED work items. Note that it is possible (and preferred by several customer implementations of Transflo Workflow AI for Factors) to configure that SQS messages should be sent for all status changes. Often customers might want more messages only when performing user-acceptance testing (UAT) in staging or test environments and set up fewer options on production servers.

ARF-2293: Fixed a bug where the reset password link was not working in a direct staging environment and was previously missing the -ia string before the com in the URL.

ARF-2290: Updated a requested invoice template with a new layout and custom logo.

ARF-2287: Fixed a bug where a work item was previously stuck in a process. Added the necessary business logic to prevent items from remaining stuck in a document workflow process.

ARF-2283: Fixed an issue with filter options when grouping documents.

ARF-2274: Fixed an issue where a user was unable to change the document type when grouping; users can now set unassigned documents to an appropriate document type.

ARF-2262: Fixed a bug where super-admin commands were not working; updated code to handle super-admin command scripts.

ARF-2222: Fixed the Client Scoreboard dashboard report to properly show the top 10 clients by the number of the work item.

ARF-2219: Fixed a related Client Scoreboard issue to allow selection of any other client that is not in the top 10.

ARF-2220: Fixed a filter to properly show and allow the selection of users.

ARF-2168: Fixed high-availability (HA) issues in back-end cloud components. Fixed associated issues where reloading the Work Item Details page would redirect to the Work Item List page. Also fixed an issue where a web socket connection failed every three (3) seconds and resolved a missing front-end branch in the tenant configuration page (these Settings are available only to super-admins).

ARF-2166: Fixed a high-availability (HA) bug where an audit log was not being created in a staging environment.
-
ARF-2136: Fixed a bug where work items were shifted to the next day due to timezone differences between UTC and local date-time stamps. Resolved this issue to show dates and times based on a customer-configurable local time zone instead of UTC.

ARF-2115: Fixed a bug where a user was not able to drag-and-drop files on the document grouping page if the work item queue status was REPLIED. Users can now move files when grouping documents in any active status (NEEDS ATTENTION, PAUSED, REPLIED, OR FINAL REVIEW).

ARF-2094: Resolved an issue where MySQL connections were sometimes timing out. Added business logic and error handling to prevent connection timeouts and keep associated work items from getting stuck in-process.

ARF-1830: Fixed a latency bug where lag was causing one or more fields to clear or reset. Added code to prevent a change in focus from causing a previous field value to be reset.

ARF-1106: Resolved user interface behavior where a new unread reply indicator (red dot) was still displayed even after the reply message was read by the user. Before this fix was released, the system would receive a reply from a client e-mail and persist in showing the red dot even after the user read it; the previous release would no longer show the red dot only when a new message was sent by the user and the work item queue status was changed to PAUSED.

ARF-2135: Improved overall compression performance and resolved issues with documents that cannot be compressed. Updated business logic to ensure that in cases when compression is not possible, the system sends any error messages to the Transflo Error API.

This release included product road map review and feature refinement, project delivery, and back-end stability improvements.

The next beta release will include mostly back-end performance, scalability, and availability improvements, quality fixes, stability enhancements, and maintenance updates. The following features are also scheduled for inclusion in the next beta release:

Email Date Field Updates: A new Email Date field has been added to the Work Item list and the open work item to help you track all incoming email received by date. Users can apply search filters to find only certain work items by the date they were originally received.

Negative Value Updates: Negative numbers are now supported by the system and processed in any total values based on calculated results including negative currency amounts (for example, for fees or adjustments).

Dashboard Updates: The Analytics Dashboard page now shows all four (4) main dashboards on one page so users can view them with less scrolling. The dashboard user interface received subtle cosmetic enhancements.

Analytics Dashboard Summary Tile Updates: The appearance of the summary tiles has been enhanced. Each tile shows the number of new work items and expresses that same value as a percentage increase or decrease from yesterday. The following tiles appear at the top of the Analytics Dashboard page:

E-mail Activity in Audit Logs: This release now includes any e-mail activity in audit logs.

Define Next Queue in E-mail Templates: This release now includes the ability to define the next queue for a work item when using an email template.
-
Apply and Resize Stamps: This release allows users to apply one or more stamps to documents and then move and resize them. In addition, stamps now support optional transparent backgrounds.

Empty Document Cleanup: The system auto cleans up empty documents (documents with 0 pages) when grouping.
-
Default Document Tag Enhancements: This release improves the auto-tagging behavior for standard issues with e-mail (for example, No Attachment).
-
Custom Tag Performance Enhancements: The manual tagging feature first introduced in a previous beta release has been updated. Admins can create new custom tags and users can now assign them to work items.

Default Document Fit Settings: Admins can configure documents to automatically fit to width or fit to page as their default behavior when users open them.

Zoom Documents to a Specific Area: Added the ability to zoom in to a specific area of a document with the lasso zoom tool.

Verify Required Fields Are Complete Before Work Item Approval: This release adds support for system verification of required fields as a pre-condition for the approval of a work item. The user will be required to ensure all required fields are complete before the work item can be approved.

The next release (R14.1) will include mostly back-end performance, scalability, and availability improvements, quality fixes, stability enhancements, and maintenance updates. The following features are also scheduled for inclusion in the next beta release:

Email Date Field: A new Email Date field has been added to the Work Item list to help you track all incoming email received by date. Users can apply search filters to find only certain work items by the date they were originally received.

Support for Negative Values: Negative numbers are now supported by the system including negative currency amounts for fees.

At Least One Required Work Item for Each Inbound Email Received: The solution verifies at least one work item exists for every e-mail received. If necessary, the system creates at least one required work item for every email that is received. In the event no attachment is received with the inbound email, the system applies a no attachment tag to the work item. This new feature can help reduce staff time allocated to invalid work items. For example, in some configurations, you can now have your instance of Workflow AI auto-reject those items so they receive manual attention by a separate team or auto-reply to the sender to let them know that their inbound e-mail was rejected because it was missing at least one required document.

New DELETED Status Queue: Users can now delete work items and have them restored, if necessary, at a later time by their administrator.

Analytics, Report, and Dashboard Enhancements: Added a User Productivity dashboard and a System Throughput dashboard to provide more insight into the system.

Until the new reporting module is complete, these dashboards can be used as reports.
-
The data in dashboards can also be exported as standard comma-separated values (CSV) files. CSV data can be imported into database and spreadsheet applications such as Microsoft Excel or Google Sheets.

Output Field Validation: Added functionality to notify users immediately if they attempt to save a work item field with incorrect data such as extra characters in a currency or numeric field. In previous releases, without field validation, a work item with such a minor issue would likely have been assigned to the ERROR work item status. In this release, users receive a message at the top of their page and can quickly fix the data in one or more fields and continue processing the work item.

Manual Tags: Added the ability to assign meaningful tags to work items. Examples include teams, users, groups, important flags, and other custom work item attributes. By assigning, grouping, filtering, and processing work items with tags, teams can greatly speed processing, reduce delays, and improve efficiency. A tag configuration page for administrators is also available in this release.

Alerts: Added additional alerts and fixes to address reported issues. An alert configuration page for administrators is also available in this release.

Batch Release: The ability to approve multiple items in the FINAL APPROVAL queue at the same time. Supports sending multiple work items to the factor system in one submission per client.

Dashboard Enhancements: Ability to filter and export reports. The next release will include additional reports with similar functionality.

PDF Viewer enhancements: Users can now rotate documents and adjust the contrast and brightness.

Merge Document Attachments: When preparing to send e-mail with two or more attachments to a client, users can now click the Merge Documents check box to merge multiple documents into one PDF attachment as a convenience. Administrators can also configure e-mail templates with this option preset.

Support for Custom Alerts: This release includes support for custom alerts.

- ARF-1529: Super admin users can now exclusively assign super admin permission to other admin users
- ARF-1535: SRS message complete fields
- ARF-1554: Documents with an 'Audit log' document type should not appear on the grouping page
- ARF-1564: Fixed an issue where the system was sending an error alert to the Transflo Alert API
- ARF-1593: Fixed an issue to control the removal of fields after cropping a document
- ARF-1594: Improved the quality of the stamp functionality on the detached document view (separate tab or window)
- ARF-1610: Improved the placement and width of reports
- ARF-1612: Improved audit log refresh behavior in the ERROR work item queue

Dashboard: Users can now view and export reports on the dashboard.

Reprocess Submissions: Users can view issues and then fix and reprocess submissions sent to a new ERROR workflow queue.

Forgot Password: Users can reset their password if they lose or forget it.

Internal Notes: Added a new internal notes field to be sent to integrated factor systems. Unlike standard notes, internal notes do not appear on client-facing output.

Work Item Updates: Various work item changes based on customer feedback now provide a more efficient user experience.

Voice of the Customer Improvements: Internal changes to support configuration changes requested by one or more BETA customers.

This early period release included the following updates:

Add Debtor Name to Work Item list: Allow the user to sort and search on the Debtor Name

Additional data for Clients and Debtors: Provide user with additional information to identify the client or debtor

Email Templates: Users will be able to select from a list of email templates created and configured by administrators at each factor organization.

Work Item Sections: Configuration of the sections on the work item.

Work Item Updates: Changes were made to work items to satisfy their current design and development requirements.

This early period release included the following updates:

Stamping for PDF Viewer: Ability for the user stamp a document with predefined stamps.
-
Pass through the main page: Allow the Move to Next and Move to Previous work item features from a work item without going back to the Work Item list.

Generation of the audit logs: Allow users to view who & when the work item state was changed. The log will also be able to be sent to the Factor System when approved.

Add the user that changed the work item state to the SQS Message: Allow the system to pass the user to the factoring system:

Configure rule approval validation: This feature provides user settings that can be configured to require that all rules be resolved or intentionally ignored to approve a given work item.

Allow approval from Needs Attentions: Allows the user to approve from the Needs Attention status rather than having to send to Final Review first.

This early period release included the following updates:

Open a Document in a Separate Tab: Also known as document detachment, users can open the documents for a work item in a separate tab.

Fit to Height, Fit to Width, Best Fit: Users can adjust the size of the page in the PDF viewer.

Factored and Error States: the system changes the status of the WI after it was approved: (NOTE we are looking to change from Factored to Complete and move the Replied after Paused as a hot fix)

Client and Debtor notes: Users can view the notes related to the client and debtor supplied in the client and debtor data from the Factor System

Redesign of the main page: Color changes to align with the Transflo style guide. Fields suppressed.

Bug Fixes for User Management: Fixed all current known bugs related to user management.

Release 1.0 and similar early releases were designed for internal testing and do not include release notes.
